How to Audit a Heat Transfer Fluid Manufacturer in China: Factory, QC, Batch Documents and Delivery

Searching for a heat transfer fluid manufacturer in China can return many similar claims: manufacturer, factory, supplier, exporter, or solution provider. Product photos, specification tables, and statements about years of experience are useful starting points, but they do not prove who actually manufactures the fluid, releases each batch, or takes responsibility when a quality issue occurs.

For industrial heat transfer fluids, supplier qualification should cover six separate areas: legal identity, manufacturing evidence, quality control, batch documentation, traceability, and delivery capability. The following checklist helps overseas procurement teams turn marketing claims into verifiable evidence.

1. Verify the legal entity before reviewing the factory

Start by confirming which entity will quote, sign the contract, receive payment, manufacture, test, release, and export the product. Ask for the registered company name, registration details, office and production addresses, beneficiary account name, export entity, and the manufacturer or supplier shown on the label and SDS.

If the sales company, factory, and exporter are different entities, request a written explanation of their relationship. Different entities are not automatically a problem, but the responsibility chain must be clear. For a China-registered company, the National Enterprise Credit Information Publicity System can be used to cross-check its registered name, status, and publicly disclosed abnormal-operation or serious-violation records.

2. Confirm whether “manufacturer” is the correct description

The term manufacturer is appropriate only when the company can connect the manufacturing entity, production site, production activities, quality control, and batch-release records. A business focused on sourcing, distribution, export coordination, or technical service may be more accurately described as a supplier, distributor, or solution provider.

Ask who performs raw-material control, blending or processing, filtration, filling, sampling, testing, and final release. Confirm who issues the batch COA and who can retrieve the corresponding production record if a complaint is raised. If toll manufacturing is involved, review how the contracting company qualifies, monitors, and controls the processor.

3. Audit production activities, not only factory images

Photographs and videos can support a review, but they do not independently confirm where or when they were taken, who owns the equipment, or whether the line is operating. A site or remote audit should follow the real product flow from incoming materials to batch release.

  • Production, storage, filtration, and filling areas

  • Identification of tanks, pipelines, pumps, and transfer routes

  • Segregation of raw materials, finished goods, quarantine, and rejected materials

  • Cleaning and cross-contamination controls during product changeover

  • Calibration and maintenance of weighing and testing equipment

  • Batch-number generation, packaging, labeling, sampling, and release

  • Links between production, laboratory, and shipment records

A proprietary formulation does not need to be disclosed. However, the supplier should still demonstrate controlled formulas, revision history, access control, and change approval.

4. Test capacity and lead-time claims

An annual capacity figure may refer to design capacity, licensed capacity, all products combined, historical output, or outsourced production. It should not automatically be treated as available capacity for one heat transfer fluid grade.

Ask which site and products the figure covers, whether it represents design or actual output, the normal batch size and cycle time, and where the bottleneck lies. Review raw-material availability, storage, filling, laboratory release, maintenance plans, peak-season scheduling, and contingency arrangements. Lead time should also state its starting point and assumptions. Unverified capacity should remain marked “to be confirmed” in the supplier assessment.

5. Connect the quality system to the product and batch

A management-system certificate can support qualification, but it does not replace batch-specific product evidence. Confirm the certificate holder, audited address, scope, validity, and relevance to the actual manufacturing activity. Where applicable, certification status can be cross-checked through the certification body, accreditation body, or IAF CertSearch.

Then review how the operating quality system controls this product: supplier approval, incoming inspection, controlled specifications, instrument calibration, retention samples, deviations, nonconforming product, complaints, corrective actions, change notification, and release authority.

A useful audit question is: “If a viscosity, flash point, or other controlled result is outside specification, what prevents the batch from being released?” A redacted workflow or record normally provides stronger evidence than a general statement that the company is ISO certified.

6. Understand TDS, SDS, and COA separately

A TDS describes technical characteristics and recommended operating boundaries. An SDS addresses hazards, handling, storage, transport, protection, and emergency response. A COA records test and release information for a specific batch. These documents serve different purposes and should not be used interchangeably.

Check that the product name, grade, company identity, units, test methods, document number, revision, and issue date are consistent. The SDS language and regulatory format should suit the destination market. For each shipment, the packaging batch number should correspond to the COA and agreed purchase specification.

A sample COA represents only the sample batch. It does not prove future-batch consistency, manufacturing ownership, certification status, or long-term product performance.

7. Run a batch-traceability exercise

Select a redacted batch number and ask the supplier to trace it backward and forward. The record chain should connect the packaged product with the finished batch, controlled raw-material lots, formula and process revision, production date, sampling, test results, release approval, packaging, and shipment records.

The exercise does not require disclosure of customer names or confidential formulation ratios. Its purpose is to confirm that the traceability chain exists, can be completed within an agreed time, and supports inventory isolation or recall if an abnormality is discovered.

8. Separate sample approval from bulk consistency

Confirm whether the sample came from a laboratory preparation, trial batch, or routine production batch. Record its batch number, COA, packaging, storage condition, test methods, and acceptance criteria. Agree whether the first commercial batch will be retested and how later changes to raw materials, process, site, or specification will be notified.

If a sample was manually repacked without a traceable label or seal record, its representativeness is limited. Field trials should also document fill volume, residual fluid, system temperature, circulation, materials of construction, and evaluation period so that system effects are not confused with product differences.

9. Verify technical support through a real question

Use a non-confidential case to observe the supplier’s response process. A competent team should request operating and peak temperature, bulk and film-temperature information, system type, pressure, pump flow, materials, current fluid, and recent fluid-analysis data before recommending a product or replacement procedure.

Good technical support defines what is known, what remains to be confirmed, which documents are required, who owns the response, and how an abnormal case is escalated to quality, production, and EHS. A supplier should not promise complete compatibility, fixed service life, or direct replacement before the necessary evidence is available.

10. Review delivery in three stages

Before order

Confirm package size, volume, destination, Incoterms, transport mode, labels, SDS, pallet or special-packing needs, required documents, and the assumptions behind the quoted lead time.

During production

Track raw-material readiness, production schedule, batch testing, release date, packaging, label verification, quantity checks, and the escalation path for delays.

After shipment

Verify batch numbers, quantities, shipping information, COA, SDS, packing list, arrival inspection, retention samples, and the process for damage, leakage, or quality complaints.

11. Use a red-yellow-green decision list

Green: legal entity, site, product documents, batch records, and responsibility chain correspond, and sampled evidence can be verified.

Yellow: information is temporarily missing but the reason, owner, and completion date are clear; or an affiliated exporter or toll manufacturer is used with a documented quality-responsibility chain.

Red: contract and payment entities conflict without explanation; manufacturer claims lack site or release evidence; TDS, SDS, COA, and labels show inconsistent grades or entities; COAs have no batch number; traceability cannot be demonstrated; certificate scope or address does not match; or the supplier makes absolute replacement, lifetime, safety, stock, or delivery promises without evidence.

Practical supplier due-diligence fields

  • Manufacturing or toll-processing evidence

  • Product grade; TDS and SDS revisions
